Your Role in a Nutshell:
As the Administrative Coordinator, you will take charge of managing customer orders, ensuring accuracy in processing and communication, and supporting the team with workflow coordination. You’ll be the backbone of administrative operations, overseeing everything from order management to assisting with customer inquiries and maintaining internal systems. This role is perfect for someone who thrives on organization, attention to detail, and working closely with a small, dedicated team.
Key Responsibilities
Order Management Extraordinaire:
Oversee the entire lifecycle of customer orders, ensuring timely processing, accurate details, and smooth operations. You will coordinate with various internal teams to ensure orders are fulfilled according to customer needs and specifications.
Customer Relations Pro:
Serve as the primary point of contact for customer inquiries via phone and email, providing top-notch service. You’ll ensure all questions, requests, and issues are addressed promptly and escalate more complex matters to the appropriate team members when necessary.
Administrative Operations Lead:
Take charge of essential office functions—process orders, manage shipping and receiving, maintain accurate records, and assist with preparing documents. You’ll play a key role in ensuring everything runs efficiently behind the scenes.
Peak Period Strategist:
Handle increased workloads during high-demand periods, such as quarter and year-end. Your ability to stay organized and keep everything running smoothly will be critical during these busy times.
Team Connector:
Foster strong working relationships with both internal and external stakeholders, ensuring smooth communication and collaboration within the team and with clients.
Qualifications and Skills
Experience:
Previous experience in an administrative or office management role is essential. Experience in order processing or a technical/lab environment is an asset.
Key Skills:
- Exceptional organizational skills with strong attention to detail.
- Confidence and professionalism in communication, especially when dealing with senior-level engineers and external partners.
- Ability to manage multiple tasks and stay on top of deadlines in a moderately paced environment.
