About the Role

We’re hiring a high-initiative Executive Assistant fluent in Mandarin and English to operate as the founder’s right hand across live translation, targeted outreach to senior academics/industry leaders, and complex multi-time-zone logistics. You will translate in real time, open doors with professors and research leaders, and orchestrate fast-moving travel and calendars with precision.

Key Responsibilities
  • Live Mandarin ↔ English interpreting for meetings (in-person/virtual) and sensitive written communications.

  • Targeted expert outreach: identify warm paths, secure meetings with professors and senior stakeholders (e.g., Stanford, UC Berkeley, UCSF), and manage follow-through.

  • Calendar command: prioritize and coordinate a dynamic executive calendar across U.S./APAC time zones; manage rapid changes.

  • Travel architecture: plan, book, and re-plan complex domestic/international itineraries; handle visas and contingencies.

  • Briefing & documentation: create concise briefs, agendas, and post-meeting action notes; maintain airtight confidentiality and data hygiene.

  • Stakeholder communications: craft crisp, persuasive outreach and follow-ups that sustain relationship momentum.

Qualifications of Executive Assistant
  • Fluent Mandarin and English (spoken/written) with demonstrated on-the-spot interpreting capability.

  • STEM bachelor’s degree or higher (master’s/PhD welcome) from an Ivy League or peer research university.

  • Proven success securing meetings with hard-to-reach stakeholders (professors, lab heads, senior executives).

  • Executive presence, high social intelligence, and persistence without friction.

  • Comfortable with frequent, extended travel and shifting hours; calm under pressure.

  • Highest standards of discretion and judgment with sensitive information.

Nice to Have
  • Familiarity with U.S. higher-ed ecosystems and leading global research institutions.

  • Prior experience supporting a founder/CEO or PI in a high-stakes, fast-changing environment.

Performance Indicators
  • Conversion rate from “target name” to confirmed meeting within defined SLAs.

  • Calendar reliability and quality of conflict-resolution under last-minute changes.

  • Travel accuracy (on-time, error-free, cost-aware) across complex, multi-leg itineraries.

  • Quality and timeliness of briefs, follow-ups, and documentation.

Work Authorization & Travel
  • Work authorization: Must be authorized to work in the United States.

  • Travel: Domestic and international; cadence varies by the principal’s schedule (expect multi-time-zone work).
