The Executive Secretary will be integral in ensuring the smooth operation of the organization, supporting senior leadership, and facilitating communication across various departments. This role involves managing schedules, coordinating meetings, preparing documents, and handling confidential information with the utmost discretion.

  • Organize and prepare all internal meetings and business activities for the association and the fund
  • Take meeting minutes and draft business correspondence for the association and the fund
  • Serve as a key contact between the association, the fund, and third parties
  • Assist with queries and requests to ensure timely and accurate information delivery and response
  • Assist board members of the association and fund management members in the decision-making process by providing support, including information collection and organization, contract review, ensuring document compliance, and managing archiving
  • Maintain confidentiality of relevant information and business secrets


  • Bachelor’s degree or above in finance, law, business management, or related fields
  • Experience in secretarial work in well-known family offices, funds, investment banks, or multinational companies
  • Excellent bilingual communication and writing skills in Chinese and English
  • Familiar with the daily operations and management of family offices, VC, and PE funds
  • Result-oriented mindset, strong execution, and learning ability
