Axe Recruiting is currently recruiting on behalf of a growing outpatient behavioral health organization serving patients across the Westbury and Long Island community.
Our client is committed to providing compassionate, accessible, and patient-centered behavioral health care through a collaborative team model that includes psychiatric providers, therapists, social workers, administrative professionals, and clinical support staff.
We are seeking a reliable, compassionate, and detail-oriented Part-Time Medical Assistant to support providers, patients, and daily practice operations in an outpatient behavioral health setting.
About the Role
The Medical Assistant will help ensure the outpatient practice runs smoothly by supporting patient intake, appointment preparation, documentation workflows, provider support, and general office operations.
This is a part-time, onsite role for someone who is dependable, organized, professional, and comfortable working directly with patients in a behavioral health environment. The right candidate will understand the importance of confidentiality, accuracy, kindness, consistency, and discretion.
This is a hands-on Medical Assistant position. It is not a Practice Manager, Practice Administrator, or Intake Manager role.
Key Responsibilities
Patient Support
- Welcome and support patients in a respectful, professional, and compassionate manner.
- Assist with patient check-in, intake preparation, and appointment readiness.
- Collect and document basic patient information as appropriate, including vitals, medication updates, pharmacy details, and required forms.
- Help patients complete screenings, questionnaires, consents, and other required documentation.
- Support patient follow-up and communication as directed by providers or leadership.
- Escalate patient concerns, urgent issues, or unusual situations to the appropriate clinical team member or supervisor.
- Maintain professionalism when working with patients who may be experiencing mental health, emotional, or behavioral health concerns.
Provider Support
- Assist psychiatrists, psychiatric nurse practitioners, therapists, social workers, and other providers with daily workflow needs.
- Help prepare charts, patient information, and documentation before appointments.
- Support medication-related administrative workflows, pharmacy communication, lab coordination, refill coordination, and prior authorization support where appropriate and within scope.
- Help ensure providers have the information and support needed to deliver timely and effective care.
- Communicate clearly with providers regarding patient readiness, documentation gaps, or workflow issues.
Practice Operations
- Assist with scheduling, appointment confirmations, patient communications, and follow-up coordination as needed.
- Support front desk, intake, or administrative functions during busy periods or coverage needs.
- Maintain accurate patient information in the EMR system.
- Help keep the office organized, professional, and prepared for patient care.
- Work closely with administrative and clinical team members to support smooth daily operations.
- Follow internal processes and help maintain consistency across the practice.
Documentation, Privacy & Compliance
- Complete assigned documentation accurately and in a timely manner.
- Follow all HIPAA, confidentiality, patient privacy, and organizational policies.
- Maintain professionalism when handling sensitive behavioral health information.
- Support internal workflows, patient safety expectations, and compliance standards.
- Participate in training, onboarding, and process improvement initiatives as needed.
Required Qualifications
- Experience as a Medical Assistant or in a similar healthcare support role.
- Experience in a medical office, outpatient clinic, behavioral health practice, primary care setting, or related healthcare environment.
- Strong communication, organization, and follow-through.
- Ability to work professionally with patients, providers, and team members.
- Comfort working with patients who may be experiencing mental health, emotional, or behavioral health concerns.
- Ability to maintain strict confidentiality and handle sensitive information appropriately.
- Experience using EMR or practice management systems.
- Ability to work onsite in Westbury, NY on a part-time schedule.
- Reliable transportation is required.
Preferred Qualifications
- Medical Assistant certification preferred but not required depending on experience.
- Prior experience in behavioral health, psychiatry, community mental health, outpatient specialty care, or primary care.
- Experience supporting psychiatrists, psychiatric nurse practitioners, therapists, social workers, or clinical teams.
- Familiarity with medication refill workflows, pharmacy communication, prior authorizations, lab coordination, and patient follow-up.
- Experience with AthenaHealth or a similar EMR system.
- Bilingual ability is a plus.
Schedule & Transportation Expectations
This is a part-time, onsite position based in Westbury, NY. Candidates must have reliable transportation and be able to attend consistently for the agreed schedule.
Reliable attendance is important because this role directly supports patient care, provider workflow, and daily office operations.
Onboarding & Start Date
The confirmed start date will be the date the selected candidate begins onboarding, training, and ramp-up with the organization.
The start date marks the beginning of the candidate’s integration into the practice. Training, workflow orientation, system access, schedule setup, and role-specific onboarding will begin from that date.
