About the Opportunity

Axe Recruiting has been retained to identify an exceptional Personal Assistant to support the CEO of a global proprietary trading firm headquartered in New York City. This is a high-visibility, high-expectation role for an individual who is as tactful as they are organized, capable of navigating both the professional and personal demands of a CEO operating at the highest levels of global finance.

The successful candidate will join a team of assistants and act as a trusted gatekeeper, coordinator, and problem-solver. This role offers a rare opportunity to engage in a dynamic blend of executive, administrative, creative, and personal support in a fast-paced, high-performing environment.


Key Responsibilities

  • Manage a mix of professional and personal tasks, including scheduling, reservations, and household coordination.

  • Plan and oversee domestic and international travel, including detailed itineraries, accommodations, and transportation logistics.

  • Maintain a complex executive calendar, prioritize appointments, manage agenda flow, and coordinate events with internal and external stakeholders.

  • Handle wardrobe and style management, including personal shopping, seasonal audits, and special event preparation.

  • Execute administrative tasks such as data entry, document management, mail handling, meeting minutes, and internal communications.

  • Maintain and update detailed project timelines and organizational to-do lists on behalf of the CEO.

  • Act as a liaison between the CEO and broader team members to ensure alignment across business initiatives.

  • Support the CEO’s online presence, including monitoring and organizing content across multiple social media platforms.

  • Provide adaptable support in all areas as needed, including creative input, confidential communications, and personal requests.


Qualifications

  • Bachelor’s degree from an accredited university.

  • Must be able to provide SAT and/or ACT scores for consideration.

  • Minimum 6 months of experience in an administrative, executive assistant, or personal assistant role.

  • Demonstrated ability to manage sensitive and confidential information with complete discretion and integrity.

  • Exceptional written and verbal communication skills.

  • Proven ability to balance multiple projects with critical deadlines and high-stakes outcomes.

  • Meticulous attention to detail, a proactive mindset, and the ability to function with agility and poise under pressure.

  • A self-starter with a “no task too small” attitude who thrives in fast-moving environments and understands the value of precision.
