About the Opportunity
Axe Recruiting has been retained to identify an exceptional Personal Assistant to support the CEO of a global proprietary trading firm headquartered in New York City. This is a high-visibility, high-expectation role for an individual who is as tactful as they are organized, capable of navigating both the professional and personal demands of a CEO operating at the highest levels of global finance.
The successful candidate will join a team of assistants and act as a trusted gatekeeper, coordinator, and problem-solver. This role offers a rare opportunity to engage in a dynamic blend of executive, administrative, creative, and personal support in a fast-paced, high-performing environment.
Key Responsibilities
Manage a mix of professional and personal tasks, including scheduling, reservations, and household coordination.
Plan and oversee domestic and international travel, including detailed itineraries, accommodations, and transportation logistics.
Maintain a complex executive calendar, prioritize appointments, manage agenda flow, and coordinate events with internal and external stakeholders.
Handle wardrobe and style management, including personal shopping, seasonal audits, and special event preparation.
Execute administrative tasks such as data entry, document management, mail handling, meeting minutes, and internal communications.
Maintain and update detailed project timelines and organizational to-do lists on behalf of the CEO.
Act as a liaison between the CEO and broader team members to ensure alignment across business initiatives.
Support the CEO’s online presence, including monitoring and organizing content across multiple social media platforms.
Provide adaptable support in all areas as needed, including creative input, confidential communications, and personal requests.
Qualifications
Bachelor’s degree from an accredited university.
Must be able to provide SAT and/or ACT scores for consideration.
Minimum 6 months of experience in an administrative, executive assistant, or personal assistant role.
Demonstrated ability to manage sensitive and confidential information with complete discretion and integrity.
Exceptional written and verbal communication skills.
Proven ability to balance multiple projects with critical deadlines and high-stakes outcomes.
Meticulous attention to detail, a proactive mindset, and the ability to function with agility and poise under pressure.
A self-starter with a “no task too small” attitude who thrives in fast-moving environments and understands the value of precision.
