Position Overview
Axe Recruiting is partnering with a growing behavioral health organization to hire a Care Coordinator to support interventional psychiatry services. This role combines front office coordination with operational support for TMS and Spravato (esketamine) treatment programs.
The Care Coordinator ensures efficient patient flow, treatment readiness, and a seamless experience across ancillary services.
Key Responsibilities
Front Desk & Patient Coordination
- Greet patients and manage check-in/check-out
- Verify insurance and treatment eligibility
- Schedule TMS and Spravato treatment sessions
- Answer phones and respond to patient inquiries
- Coordinate patient flow and treatment room utilization
- Maintain front office organization and workflow
- Ensure completion of intake forms and required documentation
TMS & Spravato Workflow Coordination
- Prepare patients for TMS sessions including positioning and protocol verification
- Assist with TMS equipment setup and troubleshooting (NeuroStar, MagVenture)
- Document treatment parameters and patient tolerance in the EHR
- Coordinate with providers on mapping sessions and treatment adjustments
- Support Spravato treatment workflow including intake and observation coordination
- Monitor Spravato observation timing and discharge readiness
- Assist with REMS-related documentation and compliance
- Maintain treatment room readiness and infection control standards
- Coordinate ancillary treatment schedules with clinical staff
Qualifications
- High school diploma required; medical assistant, psych tech, or clinical background preferred
- 1+ year experience in behavioral health or outpatient clinical setting
- Experience supporting TMS, Spravato, ketamine, or infusion-based services preferred
- Strong organizational skills and attention to detail
- Ability to multitask in a fast-paced patient-facing environment
- Empathy and patient-centered communication skills
- Experience with EHR systems (AdvancedMD preferred)
- Bilingual (English/Spanish) is a plus
Work Schedule
- Full-time, in-clinic role
