Axe Recruiting, on behalf of our client in the mental health sector, is seeking a Medical Services Coordinator. This role is vital in supporting psychiatric clinicians and patients while ensuring efficient coordination of care and an excellent overall patient experience.


Key Responsibilities

Operational Excellence

  • Act as the central point of contact for clinicians and patients, fostering a professional and supportive environment.

  • Promote a positive workplace culture across in-office and remote teams.

  • Respond promptly to patient needs, including managing complex or emotional situations.

  • Communicate effectively with clinicians, peers, and patients to ensure satisfaction and quality of care.

Patient Support

  • Assist clinicians with patient-related administrative needs including prior authorizations, medication approvals, lab orders, patient letters, and medical records requests.

  • Manage phone systems and patient inquiries regarding medication, refills, scheduling, and urgent concerns.

  • Ensure accuracy of pharmacy and patient data within the EHR system.

  • Support patients with telehealth access and portal troubleshooting.

  • Coordinate external referrals and ensure timely patient follow-up.

Clinician Support

  • Provide day-to-day administrative assistance to psychiatric clinicians, including handling correspondence, forms, and documentation.

  • Serve as a liaison to streamline communication between patients and clinicians.

  • Assist with patient termination processes, including letters, referrals, and status updates.


Required Skills & Abilities

  • Direct experience with TMS (Transcranial Magnetic Stimulation) is critical to success in this role.

  • Ability to multitask and manage priorities while ensuring accuracy.

  • Strong written and verbal communication skills, with professionalism and empathy.

  • Proficiency in G-Suite and EMR platforms.

  • Knowledge of HIPAA compliance and handling of sensitive patient information.


Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

  • At least 1 year of experience in healthcare operations, medical administration, or a similar role.

  • Previous exposure to psychiatric or behavioral health environments is preferred.
